Creating a Safe, Open & Inclusive Place to Learn

At Motion & Music Performing Arts Academy, our goal is to ensure a safe, open, and inclusive environment for our students and staff. To do this, we regularly evaluate our policies and make changes to our academy based on experience, expert advice, and community best practices.

This is a transparent, living document, and the policies outlined below are subject to change.

Waiver & academy Policies

Terminology: Throughout the waiver and policies, Motion & Music Performing Arts Academy will be referred to as either “Motion & Music” or “the Organization”; Any activity such as a class, lesson, event, or program will be referred to as “the Class”, unless otherwise specified (e.g. private lesson); A participating member in one of our activities will be referred to either directly (e.g. you, your, I) or as “the Student”.

  • In consideration of my (and/or my childs) participation in this activity, I hereby release and discharge Motion & Music Performing Arts Inc. (“the Organization” or “Motion & Music”), and its representatives, successors, and assigns, from any and all liability arising from accident, injury, and illness that I (he/she/they) may suffer as a result of my (our/their) participation in this activity. I (we/they) also will follow the rules and regulations set by the Organization and above named parties. Parent or guardian must sign for anyone age 18 and under.

  • As a parent/guardian of a minor (“the Student”) or as a student 19 years or older (also “the Student”), who will be participating in a Motion & Music class/lesson/event/program/activity (“Class”), I have read and understood the information regarding the Class. I acknowledge that Motion & Music is not responsible for students before or after their Class(es).

  • I understand and agree that I (and/or my child) am not permitted to attend the Class if I/they are exhibiting any symptoms of a cold, flu or COVID-19, such as fever, cough, shortness of breath, sore throat and difficulty swallowing, coughing or sneezing, or other symptoms as described by the Public Health Agency of Canada, the BC Ministry of Health and BC Centre for Disease Control, or is required to self-isolate. A student who attends a Motion & Music Class with these symptoms may be denied entry into the facility or participation in the Class.

  • Motion & Music gathers and maintains personal information for the purposes of program registration and communication about Motion & Music activities. Activities include advising you of performances, programs, services, special events, open houses, and fundraising initiatives. Motion & Music respects your privacy. Any information you provide to Motion & Music will be used and stored in compliance with British Columbia's Personal Information and Protection Act (PIPA). Motion & Music will not disclose your information without your consent and does not rent, sell or trade personal data about you to third parties.

  • Motion & Music has an open-door policy for any Class (i.e. lesson) that is private (e.g. individual), and parents are always allowed to sit in on a private class.

    All classes, in-person and online, are recorded for transparency and to promote a safe space. These videos are held securely, privately, and deleted over time.

  • For good and valuable consideration, the receipt and sufficiency of which is hereby acknowledged, I hereby grant to Motion & Music and any employees, agents, licensees and assigns of Motion & Music, the absolute right and permission to use and re-use, in whole or in part, my name, voice, image and likeness, as well as any recording, soundtrack, artwork, film or footage in which my name, voice, image or likeness appear. Such videos and artwork may be taken, filmed or made by or for Motion & Music for use in any and all media worldwide in perpetuity, for any and all legal purposes, including advertising or promotion of or for Motion & Music, without further payment or notice to me.

    I also consent to any modification, alteration, distortion, blurring or optical illusion of the materials produced and their use in composite form or in conjunction with any other matter or material, service, product or sponsor. I waive any claims for defamation or invasions of privacy for any use of the materials produced during the course of this Program and associated events, and I further consent, acknowledge and agree that Motion & Music is the sole owner of all intellectual property rights in and to the materials produced during this Class/associated events, the videos and all film, footage, recordings, soundtracks, images and reproductive product however created, related to, arising out of, or in respect of the materials.

  • Instructors are subject to change without notice. Motion & Music will strive to provide a substitute rather than cancel a Class in the event of an instructor's absence. If a Class is cancelled due to an absent instructor, a replacement Class will be scheduled. If it is not feasible or possible for Motion & Music to schedule a replacement Class, a refund or pro-rated refund for seasonal programs will be supplied to all affected students.

    No refund or make-up is eligible for students who miss a rescheduled Class.

  • Amounts paid for the Class cancelled due to circumstances out of Motion & Music control, such as natural disasters, severe weather, public health advisory, facility technical issues or extreme political events, will not reimbursed and are non-refundable.

  • Correspondence by Motion & Music is done by email. By registering for the Class, you are giving implied consent for Motion & Music to send you emails with relevant and important information regarding the Student's Class(es), including, but not limited to, cancellations, billing, season date reminders, recital information, newsletters, and substitute teacher information.

    Motion & Music and our faculty are not responsible for missed information sent by email. Please always check your spam, promotion, update, and any other email provider folders periodically, as studio-wide emails may be filtered.

  • All fees or monthly tuition must be paid prior to the Class. Motion & Music has the right to cancel or remove you (and/or your child) from the Class if payment is not received.

    For pre-authorized payments of the Class (e.g. Monthly Private Music Lessons, Yearly Dance Programs), payments are processed on the 21st of each month prior to the Class (e.g. September’s monthly lesson fee is processed on August 21st) and will continue until the student withdraws or the end of the seasonal/yearly program.

    All accounts must provide a credit card or Visa Debit before registering for the Class. Credit cards will be processed or attempted to be processed weekly for all overdue outstanding balances.

  • All outstanding fees and monthly tuition must be paid prior to your withdrawal. To withdraw, the Student or parent/guardian of the Student must notify our administration staff via email at admin@motionandmusic.ca. Non-attendance or non-payment of outstanding fees does not constitute a formal withdrawal. The withdrawal date is based on when the email was sent.

    See below for additional specific withdrawal and refund information based on your program duration (i.e. Seasonal, Full-Year, Camps & Workshops, Private Lessons).

    > Seasonal Programs (Fall, Winter, Spring, Summer)

    Tuition includes the non-refundable and non-creditable Class Deposit ($20+GST/class). Class Deposits are retained at the time of withdrawal.

    If notice is given one week or more prior to your first class, the deposit is retained by Motion & Music and the remainder of tuition will be refunded.

    If notice is given less than a week prior to your first class, the first lesson's tuition and the deposit will be retained by Motion & Music and the remainder of tuition will be refunded.

    If notice is given during the 2-class trial period, the lessons attended, lessons set to take place within 24hrs and the deposit will be retained by Motion & Music. and the remainder of tuition will be refunded.

    If notice is given after the second week of lessons, tuition is non-refundable, but your account will be credited for the remaining classes in the season less the non-refundable deposits ($20+GST/class). This credit never expires and can be used for any family member or friend and put towards any season, private lessons, workshops or camps offered at Motion & Music as long as space is available in the desired class.

    >> Missed Classes
    Missed classes by the student are non-refundable, non-transferable and non-creditable, this includes rescheduled lessons or live-online lessons.

    >> Make-Up Lessons
    Make-up lessons are NOT guaranteed. To inquire about a make-up lesson, please email us and we can let you know if there is space available.

    >> Trial Period Seasonal Programs
    We provide a 2-class trial period for Seasonal programs to ensure that our studio, teachers, and class is the right fit. During this time, refunds will be provided less the non-refundable deposits and classes that are set to take place within 24hrs. If you wish to withdraw after the 2-class trial period, notice must be given within 24 hours of your second class in order to receive the partial refund, otherwise, a credit will be provided instead.

    > Full-Year Programs

    Tuition includes the non-refundable and non-creditable Class Deposit ($20+GST/class). Class Deposits are retained at the time of withdrawal.

    Missed classes by the student are non-refundable, non-transferable and non-creditable, this includes rescheduled lessons or live online lessons.

    If the Student wishes to withdraw from the program, notice must be given no later than the 20th of the month prior to the withdrawal month. The month in which we receive the notice must be paid in full. The remaining months will be refunded or instalments cancelled, less the class deposits.

    The Registration Fee may or may not be refundable based on what has already been allocated, purchased or booked.

    All outstanding charges must be paid at the time of withdrawal.

    There will be no refunds issued after January 31.

    >> Trial Period Full-Year Programs
    We provide a 2-class trial period for Full-Year programs to ensure that our studio, teachers, and class is the right fit. During this time, refunds will be provided less the non-refundable deposits and classes that are set to take place within 24hrs. If you wish to withdraw after the 2-class trial period, notice must be given within 24 hours of your second class in order to receive the partial refund, otherwise, a credit will be provided instead.

    > Private Lessons

    To discontinue monthly lessons and charges to your account, email admin@motionandmusic.ca on or before the 20th of your last month, notifying our staff of your withdrawal from private lessons (e.g. September’s withdrawal date is on or before August 20th).

    Students will be responsible for their last month’s tuition whether or not they attend lessons. Tuition for last month's lessons will not be prorated. No refunds will be provided for missed lessons by the Student.

    A private lesson cancelled by a student is non-refundable and non-creditable.

    If a lesson is cancelled due to an absent instructor, a replacement lesson will be scheduled. If it is not feasible or possible for Motion & Music to schedule a replacement lesson, a refund for the individual lesson will be supplied to the affected student.

    > Camps & Workshops

    Camp & Workshop Deposits ($20+GST) are non-refundable and non-creditable.

    If notice is given one week or more prior to the start date, Motion & Music retains the deposit and the remaining tuition will be refunded.

    If notice is given less than a week before the start date but more than 24 hours, Motion & Music retains the deposit plus 25% of the total tuition.

    If notice is given 24 hours or less, the camp/workshop/single class is non-refundable and non-creditable.

  • A diverse, inclusive, and equitable academy is one where all staff, students, and volunteers, regardless of gender, race, ethnicity, national origin, age, sexual orientation or identity, education or disability, feel valued and respected. Motion and Music is committed to a nondiscriminatory approach and provides equal opportunity for employment, education, and advancement in all of our departments, Class(es), and worksites. We respect and value diverse life experiences and heritages and are committed to maintaining an inclusive environment with equitable treatment to ensure that all voices are valued and heard.

Additional – Private Music Lesson Policies

  • September 2024 - August 2025 Season Tuition Rates:

    • Single Drop-In Lesson: $37.5

    • 30min Monthly Lessons: $135 ($33.75 Average Lesson)

    • 45min Monthly Lessons: $185 ($46.25 Average Lesson)

    • 60min Monthly Lessons: $245 ($61.25 Average Lesson)

    Monthly tuition rates are based on 48 lessons a year and a monthly average of four (4) lessons a month (e.g. $33.75 x 4 lessons = $135/month). Due to an average monthly price, tuition is the same each month despite the number of lessons provided. Please note that some months will have more lessons than four. (e.g. five), while others will have fewer than four (e.g. three). Tuition is never prorated or refunded for missed lessons (see Make-Up policy). Tuition does not include any instruments or retail teaching materials (e.g. books).

  • All fees or monthly tuition must be paid prior to the Students private lesson. Motion & Music Performing Arts Academy has the right to cancel or remove you (and/or your child) from their lesson if payment is not received.

    Monthly lessons are considered renewed on the 21st of each month prior to the next month's lessons (e.g. September’s monthly lesson fee is renewed on August 21st).

    For pre-authorized payments of monthly private music lessons, payments are processed on the 21st of each month prior to the Class (e.g. September’s monthly lesson fee is processed on August 21st) and will continue until the student withdraws.

    Payments are processed at the time of booking for all single Drop-In lessons.

    All accounts must provide a credit card or Visa Debit at the time of registration. Credit cards will be processed or attempted to be processed weekly for all overdue and outstanding balances.

  • Motion & Music allows up to four (4) private make-up lessons (i.e. individual 30/45/60 minute lesson) per Academy Year (September 1st - August 31st) per monthly paying student. The duration of the make-up lesson is based on the lesson missed. You cannot use a make-up lesson if you are not enrolled for monthly lessons at Motion & Music Performing Arts Academy. Once a make-up lesson is scheduled and booked, it is considered ‘made-up,’ regardless of attendance.

    To schedule a make-up lesson, visit our website and schedule a Drop-In lesson (you may choose any available teacher or instrument), and indicate that the lesson is a make-up.

    Make-up lessons are only available for monthly paying Students and are not available for cancelled Drop-In lessons.

    Attend a Lesson Online
    All lessons may be converted from in-person to online on any week. If you cannot physically attend but would still like to take your lesson at your regular time and avoid using a Make-Up lesson, please email or call our administration staff four (4) hours prior to your lesson, and we will convert your lesson to an online setting using Zoom. If your lesson is taking place online, an adult from your family must be present to help supervise the lesson.

  • Vacation Months are designed to allow students to take a month off while securing their day, time, and teacher for a small reservation fee.

    To schedule a Vacation Month, notify our administration staff by email admin@motionandmusic.ca on or before the 20th of the month prior to your break that you would like to take a Vacation Month.

    September 2024 - August 2025 Vacation Month Rates:

    • 30min Monthly Lessons: $50

    • 45min Monthly Lessons: $75

    • 60min Monthly Lessons: $100

    Vacation Month Details:

    To be eligible, Vacation Months must be requested on or before the 20th of the month prior to your Vacation Month.

    Music Box allows students to take up to two (2x) Vacation Months per Academy year (September 1 - August 31). Vacation months can be taken in consecutive months (i.e. September & October) or spaced out during the year (i.e. December & March).

    Make-up lessons can be taken during Vacation Months, but your regular lesson day and time are not guaranteed.

    Vacation Months renew on September 1st every year.

    Example: Jessica wants to take August off. She needs to request a Vacation Month by July 20th to secure her spot throughout August. Jessica will be invoiced in August for $50. Jessica will then resume her normal lessons and have her same spot in September.
